About This Project

At Shivah Web Tech, we were engaged by a fast-growing B2B sales agency to solve one of the most persistent challenges in modern sales — the inability to quickly identify which leads are worth pursuing and which are not. Managing over 1,800 inbound leads every single month, their sales team was spending enormous amounts of time manually reviewing contacts, guessing at intent, and chasing cold prospects while genuinely high-value opportunities sat unattended in the pipeline. The result was a conversion rate of just 14% — far below what the business needed to meet its growth targets.

Our solution was LeadPulse — a fully custom, AI-powered CRM intelligence dashboard that uses a trained machine learning model to automatically score, categorize, and prioritize every single lead in real time. Built entirely by our team at Shivah Web Tech, LeadPulse transformed how the client’s sales team operated — replacing gut-feel prospecting with data-driven precision and giving every rep a clear, prioritized view of exactly who to call, when to reach out, and what to say.

The Client’s Challenge

The client’s sales team was drowning in data but starving for insight. Their existing CRM held thousands of contacts, but it offered no intelligence — no way to distinguish a prospect who was actively researching their solution from one who had simply downloaded a whitepaper six months ago and never engaged again. Every lead looked the same in the system, which meant sales reps had to spend hours each week manually reviewing activity logs, cross-referencing email opens, and making subjective judgments about who was ready to buy.

This inefficiency had a direct impact on revenue. High-intent prospects were being contacted too late — sometimes after they had already signed with a competitor — while low-quality leads were being worked aggressively, wasting time and burning out the sales team. The client needed a smarter system. They needed their CRM to think — to analyse all available signals about each lead and surface the ones most likely to convert, automatically and in real time. That is exactly what we built for them.

How the AI Scoring Works

The intelligence behind LeadPulse is a custom-trained machine learning model that our team built and fine-tuned using the client’s own historical sales data — 18 months of closed deals, lost opportunities, and engagement records. By training the model on real outcomes from this specific business, we ensured it learned the exact signals that predict conversion in their market, rather than relying on generic industry assumptions.

The model analyses each lead across multiple dimensions simultaneously — behavioural signals such as email open rates, link clicks, website page visits, and time spent on pricing pages; firmographic data including company size, industry vertical, and job title; engagement history covering response rates, meeting bookings, and content downloads; and source quality based on where the lead originated. All of these signals are weighted dynamically and combined to produce a single, real-time score from 0 to 100 for every contact in the system.

Leads scoring above 70 are classified as Hot and immediately trigger a Slack alert to the assigned sales rep, along with an AI-generated personalized outreach email ready to send. Leads between 40 and 70 are classified as Warm and placed in a nurture sequence. Leads below 40 are classified as Cold and deprioritised automatically — ensuring the sales team never wastes time on prospects who simply are not ready to buy. The scoring model continuously retrains itself as new data flows in, meaning it gets smarter and more accurate with every passing week.
